What planners and exhibitors ask us about working the convention center.

Do you deliver to the Santa Clara Convention Center?

Yes. The center is about twenty minutes from our San Jose shop, and we deliver to your show's move-in window, install to your floor plan, and strike inside move-out. It's one of the venues we can serve on the shortest notice.

Can you work within our show's move-in and move-out schedule?

Yes. Send your exhibitor manual or production timeline with your request and we'll plan delivery and strike around the real times — early calls and overnight strikes included.

Do you coordinate with show management and general contractors?

Yes. For exhibit-hall work we coordinate with your general contractor's schedule and follow the show's delivery and material rules. Tell us who's running the floor and we'll slot in.

Can you provide a Certificate of Insurance for the venue?

Yes. We're fully insured and send COIs directly to the venue or show management ahead of load-in, with whatever additional-insured language is required. Send the requirements with your request and the paperwork is done before your crew arrives.

What does plant rental cost for a Santa Clara event?

Pricing is per plant, and one rental price covers your event for up to three days. There's a $1,000 minimum per event, with delivery billed separately by scope. Booth packages typically land between $1,000 and $4,000; ballroom and mainstage builds run larger — our biggest build to date was $40,000 across a full convention floor.

Will the plants last a multi-day conference without watering?

Yes. We choose hardy material for hall and ballroom light, water and groom everything before delivery, and one rental price covers up to three days. We don't staff on-site watering, and with the shop twenty minutes away, swaps are easy if anything flags.

Can one order cover the conference and our offsite party?

Yes. One proposal can cover your program at the convention center plus a dinner or reception at the Marriott, the Hyatt, or a venue nearby — including Levi's Stadium events. One team, one invoice.

How far ahead should we book?

Four to six weeks is ideal, and the spring and fall corporate-event seasons book out earliest. We can often take rush requests — ask, and we'll tell you straight away what's possible for your date.

What if a plant gets damaged mid-event?

We swap it. Healthy backups live at our shop twenty minutes away, so replacements usually happen before your next session starts.

How do deposits and payment work?

A 50% deposit up front so we can source the exact plants and planters your event needs, and the remaining 50% one week before the event. No deposit is taken before you've seen and approved the proposal.
