For a corporate event in San Jose, the brief began with how the room would look on camera. The plant selection and the room diagram needed to tell the same story.

The project
at a glance.
The event team wanted a consistent plant style, with variation in size, for a room that would be on camera. The Preserve worked with the buyer on an eight-plant selection and clarified the room diagram before finalizing the quote.
The rental plants were installed for the event. The customer later shared images of the finished room, giving this project a documented installation outcome.
01 / The brief
A consistent look, with room for variation.
The buyer asked for live plants with a similar overall style and some variation in size. Because the event would be on camera, selection-reference photos were part of the decision—not just a plant name on a quote.
The buyer’s requested height range was approximately 70–90 inches. The approved direction became four large and four medium fiddle-leaf figs, using two selected reference photos to communicate the desired forms.
02 / The constraint
First, read the room diagram together.
The small dots on the room diagram represented uplights. They were not additional plant positions. Clarifying that distinction established an eight-plant total and kept lighting markers from becoming extra rental quantities.
That conversation connected the drawing to the quote. It also kept the buyer’s camera-facing brief in view while the plant selection was being refined.
03 / The approach
Choose the forms before the final handoff.
The Preserve supplied reference photos so the event team could compare the actual plant forms under consideration. The buyer selected four of each of two references, and the quote was revised to reflect the choices.
The delivery handoff also needed a separate onsite contact: the buyer would not be present. The Preserve coordinated that contact and the required access information ahead of the event, connecting the approved selection to the people receiving it.
04 / The outcome
From a reviewed selection to an installed room.
The installation took place, and the customer shared finished-room photos after the event. The approved eight-plant mix had given the team a clear selection to review before delivery.
For another event where the room will be photographed or filmed, the useful starting point is a clear diagram, the intended look on camera and a shared set of plant references. The delivery contact should be agreed before the plants arrive.

- Use separate symbols for plants, lighting and other equipment on the room plan.
- Review plant-reference photos when visual consistency is part of the brief.
- Name an onsite contact when the buyer will not be there to receive the installation.
