Plan the greenery around the show schedule and the hotel handoff. Send the receiving point and possible pickup windows early, including a next-morning option where the venue allows it. We’ll confirm the workable plan by email.

A few useful
details.
What does the rental include?
Live plants and their agreed planters for the quoted rental period. Delivery is a separate one-time $500 charge, with pickup agreed for your event. Your team handles receiving, interior movement, placement and return to the collection point. Setup, installation and daily on-site care are not included.
Can we plan everything from another city?
Yes. Share your venue, dates, floor plan and preferred look by email. We review the scope and venue access with you before booking. Your event still needs a receiving and placement team on site.
What if we don’t know which plants we need?
Start with the room and the areas you want greenery. We suggest plant and planter options with reference images. Varieties, sizes, quantities and availability are confirmed in your proposal.
What about a booth and an offsite dinner?
Include both addresses and all rental and access dates. We review the plant scope and receiving arrangements for each location; any transfer must be part of the confirmed plan.
Do you provide a Certificate of Insurance?
Yes, COIs are available on request. Send the venue requirements and deadline so we can review them before drop-off.
How long can we keep the plants?
One rental price covers an event up to three days. Longer rentals are quoted for the full agreed period from drop-off through pickup.
How far ahead should we get in touch?
Four to six weeks is ideal, especially for larger events. If your date is closer, share it and we’ll check what is possible. Availability is confirmed before booking.
Can we choose our planters?
Planters are included. We share the available options for your event so the finish works with the room; specific styles and quantities are confirmed in the proposal.
What should our venue team handle?
Your team or venue receives the plants, moves and places them inside, and returns them to the agreed collection point. Tell us about access, clearances and any required venue paperwork.
How do we confirm the booking?
We confirm the plant list, rental dates, receiving arrangements, pickup and price in your proposal. Payment is due upon receipt. An inquiry alone does not reserve plants or dates.
Can one person help with our other event cities?
Yes. You can keep one point person at The Preserve for greenery across our served markets. We confirm availability, scope and logistics separately for each event.
Can you work around our Chicago convention schedule?
Share the show’s receiving rules, event dates and collection windows. Your team handles receiving and placement. Evening or next-morning pickup must be confirmed for the specific event; neither is automatic.
